Luggage Guidelines

Please read this page carefully before booking. Luggage space is limited in a sedan vehicle, and accurate information is essential for a safe, comfortable, and legally compliant transfer.

Standard Luggage Limits

There is generally a limit of two check-in-sized suitcases. Additional suitcases may be accommodated if they are of smaller dimensions. This is by exception; please get in touch with the Driver to discuss. 

Check In Size (hard or soft shell, duffle bags):
73cm (length) x 47cm (width) x 25cm (depth), ~23kg

Carry On Size (carry-on cases or soft bags):
55cm (length) x 35cm [width] x 23cm [depth], ~14kg 

All measurements must include wheels, handles, feet, and any protruding parts.

How to Measure Your Luggage

Measure each suitcase at its maximum outside points.

  • Include wheels.
  • Include handles and side handles.
  • Include feet, hard edges, hard corners, and protrusions.
  • Include curved edges and any part of the case that sticks out.
  • Include bulging caused by overpacking.

Do not measure only the fabric, shell, internal case size, or manufacturer/airline dimensions unless you have checked them against the actual suitcase. Duffle bags can be more lenient for dimensions.

What to Measure

Measure each suitcase in three directions:

  • Length: from the very bottom of the wheels to the very top of the handle or case.
  • Width: from the widest side point to the opposite widest side point, including side handles or any protruding parts.
  • Depth: from the front of the suitcase to the back, including bulging pockets, packed-out sections, wheels, feet, or hard-shell curves.

The important measurement is the maximum outside dimension, not the neatest or smallest dimension.

Why Accurate Measurements Matter

A sedan boot has fixed openings, hinges, trim, and boot-lid mechanisms. A suitcase that is only a few centimetres larger than advised may not fit, even if it looks close.

A difference of 2-5cm can change whether luggage can be safely carried. This is especially important when travelling with more than two suitcases.

Important Notes

  • Two standard suitcases are generally no problem.
  • Three suitcases may be accepted only by prior agreement.
  • Large or oversized luggage may require adjustment of seating or may not be able to be carried.
  • The Driver uses a sedan, not a van, shuttle, or minibus.

Three Suitcases

Three suitcases are by exception, not standard capacity. Three suitcases may be possible only when the measurements are accurate, and the luggage can be carried safely.

If travelling with three suitcases, please provide the size of each suitcase separately:

  • Suitcase 1: length x width x depth, including wheels, handles, side handles, feet, and protrusions.
  • Suitcase 2: length x width x depth, including wheels, handles, side handles, feet, and protrusions.
  • Suitcase 3: length x width x depth, including wheels, handles, side handles, feet, and protrusions.

Please double-check the measurements before replying. Incorrect or guessed measurements can mean the luggage cannot be carried safely at pickup.

Luggage Weight and Safe Handling

As a guide, checked luggage should generally be within normal airline checked-baggage weight limits. A useful guide is 23kg per checked suitcase. Some airlines allow up to 27kg, and this may still be manageable if the item can be lifted and loaded safely.

Items over 27kg may not be accepted, especially if they are rigid, oversized, awkward to grip, or difficult for one person to lift safely.

Weight is not the only issue. A heavy soft bag or duffle may sometimes be easier to manage because it can flex and be handled safely. A heavy rigid hard-shell suitcase can be much more difficult because it behaves like deadweight and may not manoeuvre safely through the boot opening.

Very heavy, rigid, oversized, or difficult-to-handle items may not be accepted, even if the total number of bags is within the stated limit.

Cabin and Front-Seat Luggage

Checked-size luggage is expected to travel in the boot. The passenger cabin is not a substitute luggage compartment.

Small carry-on luggage may be carried in the cabin only if it can be safely secured and does not affect passenger safety or comfort.

In limited cases, luggage may be placed on the front passenger seat and secured with a seatbelt. This is not guaranteed and is only possible when it can be done safely, legally, and without affecting passenger comfort. Large checked luggage should not be assumed to be acceptable in the cabin.

Booking Accuracy

Please ensure the luggage details provided at the time of booking are accurate. If luggage is larger, heavier, or more numerous than advised, it may not be possible to complete the transfer as planned.

If you are not sure whether your luggage will fit, please ask before booking and provide clear measurements for each item.

Common Measurement Mistakes

  • Measuring the suitcase body but not the wheels.
  • Forgetting the top handle or side handle.
  • Using airline or manufacturer dimensions without checking the actual suitcase.
  • Not allowing for bulging caused by overpacking.
  • Giving one measurement for several suitcases that are actually different sizes.
  • Guessing or typing the wrong number from memory.

Safety and Operator Judgement

The Driver must be able to carry luggage safely and in a way that does not compromise the driver, passengers, vehicle, or other road users.

The final decision on whether luggage can be carried safely is made by The Driver at pickup.

IMPORTANT – CANCELLATION AND SAFETY POLICY

The Driver reserves the right to refuse or cancel any booking at pickup if luggage information provided at the time of booking is incorrect, incomplete, or misleading, and the luggage cannot be carried safely or in compliance with vehicle safety requirements.

This includes luggage that is larger, heavier, more numerous, or materially different from what was advised at the time of booking.

Where a transfer is cancelled or cannot proceed because of inaccurate, incomplete, omitted, or misleading luggage information supplied by the client, the booking will be treated as a customer-side cancellation, and no refund will be provided, nor liability accepted.
